Search for ten seats and the price goes up

Try it. Price one seat to Delhi in November. Then price ten.

The per-person fare rises, sometimes considerably, and the natural conclusion is that someone is punishing you for having a large family.

Nobody is. Here is what actually happened.

Airlines release fares in small buckets. A handful of seats at the cheapest price, then a handful at the next price, and so on up the ladder. A search box asks for ten seats, finds two in the cheap bucket and eight in the dearer ones, and then quotes all ten at the highest price it needed to reach.

So the fare you are looking at is not the group's fare. It is the arithmetic of a form that was designed for a couple. Ask us to price your group properly.

The threshold, and what changes

Ten or more is the usual threshold for genuine group fares, though the exact number varies by airline.

Above it, a different set of rules becomes available, and the rules matter more than the rate.

The deposit is the actual product

This is the thing people misunderstand, and it is why group bookings exist.

A group booking typically holds the seats on a deposit, with the balance and the final names due later.

Read that again, because it is remarkable if you are used to normal tickets. You lock the seats and the price now, and you tell the airline who is actually coming later.

Compare that to how an ordinary booking works: you pay in full, for named passengers, and the name is not transferable. Our corporate flight management page makes the same point in a business context, and it catches companies out constantly.

For a wedding, that difference is the whole game. In March you know roughly twenty people are coming to a November wedding in Amritsar. You do not know which twenty. A group booking does not care yet. Twenty individual tickets care very much, and they will charge you to find out.

Name changes, and attrition

Two things follow from the deposit structure, and both are what families actually need.

Name changes are commonly permitted up to a deadline. So when your cousin cannot come and her brother can, that is a form rather than a new ticket at the walk-up fare.

Attrition is usually tolerated to a degree. A party that shrinks from twenty to seventeen is normally fine within the group terms. A party of seventeen holding twenty individual non-refundable tickets has just lost three fares in the most expensive month of the year.

Nobody plans for attrition and every group has it.

The honest bit: group fares are not always cheaper

We would rather say this than let you assume otherwise.

Sometimes ten individual wholesale fares beat the group rate. It happens, particularly outside peak, and when it does we book it that way and tell you why.

So the group booking's value is frequently not the price at all. It is:

Holding seats on a deposit with names to follow.

Name changes up to a deadline.

Attrition without catastrophe.

Seat allocation as a block, so a family with children and grandparents actually sits together rather than being scattered across an aircraft in ten single seats.

Any one of those is worth more to a wedding party than a modest fare difference. All four together are not something a search box can offer at any price.

When it matters most

Weddings, which is the bulk of what we do. In every one of those cases the rooms behave like the seats: they exist in quantity right up until the moment a lot of people want the same nights, and then they do not. The mistake we watch groups make is settling the flights first and assuming accommodation is the easy half. It is the half with less inventory, because a hotel that can offer four rooms on a date frequently cannot offer twelve, and the ones that can are the large properties whose conference calendar you are also competing with.

So run the two in parallel. Once the dates are close to fixed, check what twelve rooms actually costs on those nights before the deposit goes down, because occasionally it changes which week the group should travel.

Start earlier than you think

The single most common failure on a group booking has nothing to do with fares.

The seats have to exist.

On the India corridor around Diwali and the wedding season, they stop existing. Not "get expensive": stop existing, in blocks of ten, on the dates a wedding is actually on. Our flights to India page covers the calendar.

So: six months for a peak-season wedding is not cautious. It is the point at which a block is still available. Four months is late. Two months is a series of apologetic phone calls to relatives about which flight they are on.

The day the wedding date is confirmed is the day the booking clock starts, and that is true even if you do not know a single name yet, because you do not need to.

What we need from you

Less than you would think, which is the point.

The dates, or the wedding date and roughly how long people are staying.

A rough headcount, which can be rough.

The origin cities, because groups frequently come from more than one. A party gathering from Sydney, Melbourne and Perth is completely normal and it is a construction rather than three bookings.

Not the names. Not yet. That is the whole idea.
